Intelligent rent audit

Controlease knows what your lease says. It recalculates the rent that should be invoiced, compares it with what actually arrived, and tells you the difference in euros.

What it catches

Errors that only show up when someone checks the maths.

  • Wrong index or base month. IPC, IPCA, HICP: each country, each contract, its own rule.
  • Caps ignored. A 2% annual cap that the landlord's system does not know about.

Which indices are supported?

The national consumer price indices for every country in your portfolio, with the correct publication lag and base month per contract. New markets are added as customers open them.

What happens when a deviation is found?

An alert goes to the person who owns that asset, with the contract clause, the expected calculation and the invoiced amount side by side: enough to open a claim without further research.

Can we audit historical periods?

Audit rent & invoices

Know what you should be paying.

Controlease recalculates the rent your lease actually specifies and compares it, line by line, with what was invoiced. What comes out of that is not only a claim. It is the only reliable base for next year’s numbers. Audit first, budget after: the same engine, in that order.

  • Audit. Indexation at the wrong rate or base month, service charges over the contracted cap, step rents and free periods never applied.
  • Budget. Next year built from what you signed: CPI on each anniversary month, agreed increases, free periods switched off when they end.
  • Structural vs payable rent. The permanent base and what actually leaves the bank, kept apart. Mixing them is the classic error of a budget done by hand.

IFRS 16

The short version of a standard that moved rent from a footnote to the balance sheet.

What it asks for

A lessee recognises almost every lease on the balance sheet: a right-of-use asset and a lease liability, measured at the present value of the payments. Rent stops being an off-balance-sheet expense.

Since when

Annual periods beginning on or after 1 January 2019. If your group has been reporting under IFRS since then, it already applies to you. The question is only how well.

Who it reaches

Companies reporting under IFRS. If you file only under local GAAP (the Spanish PGC, for instance), it does not reach your individual accounts, but it usually reaches the consolidation of the group above you.

What is left out

Leases of twelve months or less, and leases of low-value assets. Those two exemptions are the whole list. Everything else goes on the balance sheet.

If you are the landlord

Lessor accounting barely changed: each lease is still classified as a finance or an operating lease. IFRS 16 rewrote the tenant’s balance sheet far more than the owner’s.

Getting started

Before you sign anything.

What exactly do I have to send you to get started?

Whatever you have. Contracts in PDF, scans, annexes, and the Excels you use today, as they are, without renaming or reordering anything. If a folder is messy, that is the normal case, not the exception.

How long until we are actually using it?

Under 48 hours. There is no mandatory integration and no custom development unless you ask for it. The usual sequence is: you send a sample, we structure it, you check it against the contracts, and then we load the rest.

Do we have to replace our ERP?

No. Controlease sits on top of what you already run, SAP included. If you have no CRM for landlords, brokers and signatories, you get one as part of the core.

Can we start with one country or one brand?

Yes, and most customers do. Scopes are part of the product: a country, a brand or a company is a scope, with its own users and permissions.

How much can you trust what it reads.

How accurate is the extraction?

We measure it against contracts reviewed by lawyers and publish the accuracy per family of fields, not as one headline number. And every extracted value links to the exact point in the document it came from, so you can check any figure in one click.

Does a human check what the AI proposes?

Yes. Our analysts review the extraction before it reaches your record, and then you approve or reject field by field. Nothing is written into your data silently.

What happens if the AI cannot find something?

It says so instead of guessing. A field with no source in the document stays empty and flagged, which is far more useful than a plausible number nobody can defend.

In which languages does it work?

Latin, Greek and Cyrillic alphabets and right-to-left scripts. You open the contract in the language it was signed in and read it in yours. The signed original never changes.

Does our data train your models?

No. Your contracts are yours, they stay in your organisation’s space, and they are not used to train anything.

Is there an integration project?
